  • Issue NOCs for Refreshers/Oriented courses to teaching staff
  • To look after the process of convening and issuing permission for National / International Conferences / Seminars I Symposia / Workshops
  • Preparation of proposals under different schemes of Ministries /UGC and follow up for getting approval.
  • Preparation of statistical reports and interim development proposals of the university.
  • Data inputs to the authorities regarding status of utilization of grant and progress of projects to help them take necessary decisions from time to time
  • Obtain ing, compilation and submission of information as required by UGC and MHRD from time to time
  • Preparation of Plan Appraisal report and presentations to be made in UGC
  • Obtaining and submission of building proposals, tender information, progress teports to UGC/Ministries as per their requirements
  • Submission of Utilization Certificates and completion documents to UGC & other funding agencies for realization of grant and settlement of project accounts.
  • Coordination with Building & Construction Deptt. regarding closure of projects and submission of completion documents
  • Submission of Agenda items (in case of some deposit works) for approval by the Finance Committee
  • After XII Plan, as directed by the University Grants Commission, preparation of plan proposals on annual basis.
  • Liaoning with the UGC, MHRD and other funding agencies.
  • Handling and processing the work related to Planning Board meetings
  • Handling various Schemes of UGC viz. Sarojini Naidu Centre for Women's
  • Studies, Centre for Study of Social Exclusion and Inclusive Policy, HEPSN, TEPSE schemes etc.
  • Handling schemes like DDU Kaushal Kendra, Community College, B.Voc. in Solar Energy etc.
  • Handling and processing work under CPEPA scheme sanctioned by UGC.
  • Drafting Replies under RTI and Audit paras pertaining to PDB on time to time basis
  • Processing papers received under University Development Fund (UDF) / Departmental Development Fund (DDF)/ Professional Development Fund (PDF)
  • Handling CPGRAMS portal and processing grievances received on it and timely uploading reply obtained from concerned

Administration Section, Maintenance (P&S)

  • To attend and process all the grievances/ complaints being received by the

  • To issue NOC for the issuance of renewal of Passport to all teaching and non-teaching employees
  • To handle and take care of all the employees who are being deputed to the election duties
  • To process the matter for empanelment of private hospitals providing CGHS rates
  • To issue dependent certificates
  • To maintain FRD Register
  • To process and issue Cashless Certificates
  • To include/exclude the name of dependent in the FDR
  • To maintain the record of staff cars/vehicles
  • To handle the contingencies of the Registrar's Office
  • Maintenance of Stock Register and NR Register
  • Overtime budget of Registrar's Office '
  • Reimbursement of Admission Form/Entrance Fee and other related work
  • To maintain the seniority list of teaching (including schools), non­ teaching/ technical staff
  • Arrangement for holding various functions, Foundation Day, Dr. Z.H.Birth/Death Anniversary, festivals and meetings of AC/EC/ Court/ Convocation and other related work
  • Maintenance of Conference Hall, Committee Room, Yasser Arafat Hall, Mir Taqi Mir
  • Preparing, processing and compiling information from concerned sections and forwarding the same to the Ministry and UGC on the issues like Swachh Bharat Pakhwada, observance of Yoga in the educational institutions, National Academic Depositories, Nai Manzil Scheme, Ek Bharat Shreshtha Bharat, Unnat Bharat Abhiyan and other miscellaneous schemes received time to time from the Ministry as well as UGC.

  • Preparation of Agenda, Minutes and filling up the vacancies of Members of the Academic Council, Executive Council, Court and Ordinance Committee of the University.
  • To keep all records of the Agenda, Minutes and Members of the Academic Council, Executive Council, Court and Ordinance Committee of the University
  • To issue notices of meetings of the Academic Council, Executive Council, Court and Ordinance Committee
  • Follow up action on the Minutes of Academic Council, Executive Council,
  • Court and Ordinance Committee
  • Preparation and circulation of the Minutes of Academic Council, Executive Council, Court and Ordinance Committee on the University Website from time to time
  • Holding the Annual/Special Convocation
  • To keep all records of the Convocations
  • To update and put files for the new members of the Executive Council, Academic Council, Court and Ordinance Committee
  • To proceed for the Statutory changes and modifications in the JMI Act -1988 with the Ministry of Education for approval of the Visitor of the University in order to update on yearly basis
  • Adoption of various Schemes and Guidelines of Govt. of India/UGC
  • Reply of all Parliamentary Questions after obtaining the information from concerned Sections/Offices.
  • Nomination of faculty members for Faculty Committee, Board of Studies, Committee of Studies and Board of Management
  • To keep records of all Committees constituted by the Executive Council, Academic Council, Court and Vice-Chancellor
  • Any other work assigned from time to time by the Competent Authority

Disciplinary Inquiry / Proceedings Section:

The responsibilities of the Disciplinary Inquiry /Proceedings are
  • To handle all disciplinary matters, inquiries and Fact Findings Committees related to teaching and non-teaching staff
  • Vigilance Section of the University to be merged with the Departmental Inquiries / Disciplinary Proceedings Section
  • To look after all the vigilance related cases as and when received from any Govt. agency/ Ministry of Education/Central Vigilance Commission and to deal with those complaint and appropriate action to be taken.
  • To issue the Vigilance Clearance to the teaching/non-teaching employees
  • To issue minor and major penalties orders
  • To issue all Show Cause Notices/Memo/Warning/Advisory and follow up action
  • Any other work assigned from time to time

International Institutional Relations

  • To conduct training programs with the coordination of UGC-HRDC for non-teaching staff.

  • Appointment of Deans(Heads of Depts./ Directors of Centres and officiating Arrangements.

  • Sanction of Extraordinary leave and regularization of EOL, deputation
  • period and Counting of past services of teachers for pensionary benefits.
  • To process the cases of advance increments for Ph.D./M.Phil /and notional increments for deputation/ EOL periods in respect of teachers.

Pension and Service Books
